Position Information Title Director of Events (Washington, DC) Department DC Ctr Outrch & Collaboration (9821) Location Washington, DC Position Summary The University of Arizona's Washington, D.C. Center for Outreach and Collaboration, scheduled to open in March of 2020, will be the university's first office in the Nation's Capital. Ideally situated in D.C.'s East End neighborhood, the new office space will be within walking distance of the White House, the Association of American Universities, the Association of Public and Land-grant Universities, and wide variety of sister institutions. The office will house a wide variety of programs, such as the UA's Federal Relations team, the National Institute for Civil Discourse, subject matter experts from our Research, Discovery, and Innovation Office, the University of Arizona Applied Research Corporation, the Semester in Washington Presidential Fellowship Program, and various other programs. The Washington, D.C. Center for Outreach and Collaboration will host a robust events program to ensure a seamless conversation between the groundbreaking education and research being done in Tucson and around the world with policymaking and grant opportunities available in Washington. Additionally, the office will provide space for visiting faculty and staff, alumni, donor, and stakeholder groups to utilize throughout the year. The Washington, D.C. Center for Outreach and Collaboration will be the University's front door in Washington, where we will welcome elected officials, policymakers, influencers, and community stakeholders to share in the amenity and enhance the visibility, reputation, and knowledge development at the University of Arizona. The Washington, D.C. Center for Outreach and Collaboration will be a fast- paced, agile work environment. The Director of Events will work in collaboration with local influencers to conceptualize, plan, and execute all events within the Washington, D.C. Center for Outreach and Collaboration. S/he will regularly meet with leadership to understand, develop, implement, execute, and maintain an annual strategic events calendar. S/he will attend events to facilitate operations, respond to emergencies, and ensure all aspects of events are implemented and controlled according to plans. S/he will evaluate, develop, and update annual event plans, annual reports, operating procedures, and policies to achieve operational effectiveness and increased value for the Washington, D.C. Center for Outreach and Collaboration regarding events. Duties & Responsibilities The_Director_Of_Events_Will * Collaborate with a wide variety of internal and external stakeholders to envision, plan, develop, execute, and evaluate a robust annual events calendar * Oversee the details of all events to include the management of guest lists, program development, responses, menu planning, vendor contracts, physical arrangements, purchasing, event tracking, and follow up * Create event related materials, identify target audiences, recruit event attendees, track RSVPs, and serve as the primary point-of-contact for all events within the Washington, D.C. Center for Outreach and Collaboration * Attend events to facilitate operations and respond to opportunities, emergencies, etc. and ensure all aspects of the event are implemented and controlled according to plans; seasonal weekend and evening work is required. * Evaluate, develop, and update annual event plans, annual reports, events database, operating procedures, and policies to achieve operational effectiveness and increased value for events within the Washington, D.C. Center for Outreach and Collaboration * Design, develop, and manage systems and practices that continuously improve the quality of events at the Washington, D.C. Center for Outreach and Collaboration * Develop opportunities and relationships to promote and publicize events with students, faculty, staff, and a wide variety of external audiences * Supervise and oversee office support staff and volunteers in event production/planning * Perform other job-related duties as assigned Knowledge, Skills, & Abilities We seek a team member with experience in a relevant professional capacity who is enthusiastic about supporting the University of Arizona's Washington, D.C. Minimum_Qualifications * A bachelor's degree in a related field. * At least a minimum of 5 years of event planning experience (or equivalent), preferably in a complex and fast-paced work environment * Strong technical skills including Microsoft PowerPoint, Outlook, Word, Excel, Adobe Acrobat, and other office collaboration software * Proven success in planning and executing small-, medium-, and large-scale events * Highly organized and proficient at managing multiple projects at a time * Orientation as a team player who strives to understand and deliver excellent customer service to internal and external stakeholders in a multidisciplinary environment * Must work well with others to take direction, but show initiative when appropriate * Impeccable attention to detail, superior organization skills, and exceptional written and oral communication skills * Results-oriented, organized and resourceful in getting things done, meeting deadlines and anticipating needs * Respect for diversity, equity, and inclusion * Excellent judgement, integrity, and commitment to personal responsibility and accountability * Experience with hosting VIP guests, dignitaries and government agencies and officials in an academic setting, along with knowledge in related protocols.
